An email signature travels through software twenty years old and mobile apps that rewrite everything. That is why the usual generators produce unreadable nested tables. This one stays simple: a layout that holds in common mail clients, a plain text version for those that refuse HTML, and nothing depending on an image hosted elsewhere.

Fill in your details

Name, job title, company, phone, email address and website. Any empty line is simply left out of the render.

Accent colour and text size. What you see is what gets copied.

Copy both versions

The HTML version goes into your mail client's signature field, the plain text one into the equivalent field for plain text clients.

Worth knowing

Four things to keep in mind

No logo as an attachment

An image inserted from your disk goes out as an attachment on every message and triggers the paperclip icon. Use an image hosted online, or no image at all.

Four lines is enough

Name, role, phone, website. A twelve-line signature with a quotation and an environmental notice is skipped entirely by the reader, and weighs down every reply in a thread.

The phone number must be tappable

On mobile, a number in plain text has to be selected then copied. A tel link starts the call on one tap, which genuinely changes how many calls you get.

Test on a real phone

A signature perfect on desktop can unfold over six lines in a mobile app. Sending yourself a message remains the only check worth doing.

Copy the rendered HTML version, then paste it into Settings, General tab, Signature section. Paste the visual render rather than the code: Gmail keeps clipboard formatting.

Same principle, under File then Options then Mail then Signatures. Outlook rewrites part of the HTML: complex layouts are the ones that break, which is one more reason to stay plain.

No legal requirement imposes a notice in a signature. A company's legal particulars are mandatory on commercial documents, not in every email.

Only the ones you actually keep up. A link to an account abandoned three years ago does more harm than its absence.
